The following are instructions for commonly used telephone features. Other features may be available.  Check with your Telephone System Administrator for more information:

SEND ALL CALLS:

This feature is used to send calls directly to voicemail or other coverage points without ringing.

·         If your phone is equipped with a designated "Send Calls" button you can use this button to activate or cancel Send Calls.  You can also use the manual feature activation codes below:

·         To activate, press the programmed button or *8.

·         To cancel, press the programmed button or #8.

TRANSFERRING CALLS:

 To transfer a call to another extension follow the steps below:

  1. Press the Transfer button.
  2. Dial the extension number you want to transfer to.
  3. Press the Transfer button. Note: You may wish to announce the call to the third party before pressing Transfer again.

Special Notes for VoIP Phone Users (Avaya models 9608, 9611, 9640, 9650):

·         The Transfer button appears on the screen when you make or receive a call.

·         To complete a transfer press the “Complete” button. Note: You do NOT have to wait for the “Complete” button to appear on the screen; You can press the “OK” button instead anytime.

CALL FORWARD:

Call Forwarding allows you to forward all calls to another college phone.  Note:  Call Forwarding will override normal coverage routing ie forwarded calls will not return to your mailbox if unanswered.  

  1. Listen for the dial tone.
  2. Press the Call Forward button OR dial *4
  3. Dial the extension you want your calls forwarded to.
  4. Listen for the confirmation tone and then hang up.

To cancel Call Forward:  

  1. Listen for the dial tone.
  2. Press the Call Forward button or dial #4.
  3. Listen for the confirmation tone and then hang up.

CONFERENCE CALLS:

 

Meet Me Conferencing:

 

Manual Conference Calling:

 You can conference up to 6 parties.

 

To add a party to an existing call:

  1. Do not put the first party on hold.
  2. Press the Conference button (this will automatically put the first party on hold).
  3. Listen for the dial tone.
  4. Dial the number of the party you are adding to the conference call.
  5. Press the Conference button a second time OR on a VoIP phone press the “Join” button and the party is connected.
  6. Repeat this process for each caller to be added.

 To add an incoming call to a conference call in progress:  

  1. Press Hold to put the Conference Call on hold.
  2. Answer the incoming call.
  3. Press the Conference button.
  4. Press the Line Appearance of the Conference Call that is on hold.
  5. Press the Conference button again.
  6. All the parties are now connected. To disconnect the last party conferenced, press the Drop button.  

 

Special Notes for VoIP Phone Users (Avaya models 9608, 9611, 9640, 9650):

·         The Conference button appears on the screen when a call is active.

·         To add a party you do not have to wait for the “Join” button to appear on the screen; You can press the “OK” button instead.

CALL PICKUP:  

This feature allows you to answer a call to another extension within your designated Call Pickup Group.  

  1. Listen for the dial tone.
  2. Press the Call Pickup feature button or dial *7.

LAST NUMBER DIALED (“Redial”):  

This allows you to automatically re-dial the last number you called by either pressing the programmed button or by dialing *9.

CALL PARK:  

This allows you to park a call at your extension for retrieval at any extension.  

 

To park a call:

  1. Press the Call Park button (or Feature button plus Call Park number on 8403B phones)
  2. Hang up.

OR

  1. Press the Transfer button.
  2. Dial the Call Park access Code: *6.
  3. Press the Transfer button again.  

 

To retrieve a parked call from any extension:  

  1. Dial the Call Park answer back code #6. You'll hear a dial tone.
  2. Dial the extension where the call is parked. You'll hear a confirmation tone.

Use the “Contact” button or feature to add contacts.

 

On Avaya 2410 or 2420 Digital Phones:

Press any of the small “Menu” buttons below the screen.

Then press SpDial and press Add to enter a new contact.
